The challenge
The starting point
Purchasing, production, warehouse and finance worked with no system to connect them. Purchasing did not always follow real sales demand, which created downtime from missing components or overstock on the plant floor.
At the administrative close, generating payables relied on manual processes, with the risk of error and slow payment cycles. The company needed a single system to align the operation end to end, from the sales forecast to accounts payable.
The approach
How we approached it
The core was a full-integration model: information traveling on its own from the sales forecast to accounts payable.
Instead of rekeying between systems, we let each stage trigger the next automatically.
The solution
What we did with COBIZ
COBIZ designed the core of the application around a full-integration model, in four critical stages:
- Demand-based purchase planning: the system starts from short-term sales forecasts and predictively calculates raw-material needs, aligning purchasing with market reality.
- Direct impact on production: knowing what will be sold and what must be bought, the application automatically feeds the production plan, reducing downtime from missing components and avoiding overstock.
- Smart warehouse control: a receiving module validates in real time that supplier deliveries match the purchase orders, speeding up unloading and recording.
- Financial automation: once the warehouse approves incoming goods, the system automatically generates the payables, bringing human error to zero and accelerating payment cycles.
Results
The impact
An operation aligned end to end:
- Purchasing, production, warehouse and finance became aligned in a single flow.
- Human error in accounts payable was brought to zero.
- Goods receiving is validated in real time against purchase orders.
